This policy explains what we do with personal data when you use yourent.uk. It describes our actual practice, not a generic template.
What we collect, and why
Everyone who visits
- Essential cookies — to keep you signed in and to protect forms against cross-site request forgery. These cannot be switched off without breaking the site.
- Server logs — IP address, page requested and timestamp, kept for security and abuse investigation.
If you create an account
- Name, email address, and phone number where you give one.
- A password, stored only as a one-way hash. We can never read it.
- Sign-in codes sent to your email, stored hashed and expiring after ten minutes.
If you enquire about a property
- Your answers to the landlord's screening questions — employment status, income band, whether you have pets, whether anyone smokes, adverse credit, and your move-in timing.
- The messages you exchange with the landlord.
Screening answers are shared with the landlord of that property, because that is the point of sending them. They are not shared with other landlords, and they are stored as a snapshot of what you actually answered.
If you list a property or work as a contractor
- Identity documents — passport or national ID, driving licence, and trade certificates for contractors.
- Company name and registration number where applicable.
Identity documents are stored on private storage, never public, and are readable only by staff reviewing a verification.
If you call our enquiry line
- Your telephone number where it is presented, the property code you keyed, and a written transcript of the prompts and key presses.
We do not record the audio of calls.
If you pay us
Card details are entered on our payment provider's own page and never reach our servers. We store only the amount, a payment reference and the outcome.
Our lawful bases
- Contract — running your account, taking payment, delivering a service you ordered.
- Legal obligation — keeping financial records, and identity checks where these are required.
- Legitimate interests — preventing fraud and abuse, securing the service, and reviewing listings before they go live. We have balanced these against your interests and consider the impact proportionate.
- Consent — non-essential cookies, and marketing email. You can withdraw consent at any time.
Who we share it with
We do not sell personal data. We share it only with processors who help us run the service:
- Our payment provider — to take payment.
- Our email provider — to deliver sign-in codes and notifications.
- Our hosting provider — servers located in the EEA.
- Partner property portals — where a landlord's package includes distribution, the listing content is sent to those portals. This is property information, not tenant information.
- Contractors — when you order a compliance service, the contractor who accepts the job receives the property address and your contact details so they can attend.
We also use postcodes.io and OpenStreetMap to turn a postcode into a map location and to list nearby amenities. These receive a postcode or coordinates, never your identity.
How long we keep it
- Account data — while your account is open, then 12 months.
- Enquiry threads and screening answers — 24 months from the last message.
- Identity documents — 12 months after a verification decision, unless a legal obligation requires longer.
- Financial records — 6 years, as tax law requires.
- Call transcripts — 12 months.
- Server logs — 90 days.
Your rights
Under UK GDPR you can ask us for a copy of your data, to correct it, to erase it, to restrict or object to how we use it, and to receive it in a portable format. You can delete your own account at any time, in the app or at yourent.uk/delete-account.
To exercise any right, contact us using the details on our contact page. We respond within one month. If you are unhappy with our response you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes
Where we make a material change we will tell account holders by email. The effective date of this version is shown above.
